If you’ve ever gone looking for a replacement printer cartridge, you’ve probably noticed that some printers use ink while others use toner. They might do the same basic job—put words and images onto paper—but the way they do it is quite different. That difference matters more than you might think. The type of printer you have can affect how much you spend on consumables, how quickly you can print, how your documents look and how much maintenance the printer needs. So if you’re trying to decide between an inkjet and a laser printer, or simply trying to understand which cartridge your printer needs, it helps to know how each one works. Here’s a straightforward look at ink and toner, without making the choice more complicated than it needs to be.What Is an Ink Cartridge? An ink cartridge contains liquid ink and is designed for an inkjet printer.During printing, the printer uses a print head to place tiny droplets of ink onto the paper. Those droplets are positioned very precisely to create text, images and colours.Inkjet printers are common in homes, home offices and smaller workplaces. Canon PIXMA, HP ENVY and OfficeJet, and many Epson inkjet printers are examples of systems that use liquid ink. There are also ink tank printers, such as Canon MegaTank and Epson EcoTank models. These still use liquid ink, but instead of replacing a small cartridge each time, the printer uses larger refillable tanks. One of the biggest advantages of ink is colour reproduction. Liquid ink can produce smooth colour transitions and detailed images, which makes inkjet printers particularly useful for photographs and other colour-heavy work. There is a downside, though. If an inkjet printer isn't used for a long time, the ink around the print head can dry and cause blocked nozzles. This can lead to streaks, missing lines or uneven colours. For someone who prints regularly, this usually isn't a major issue. For someone who prints only a few times a year, it's something worth keeping in mind. What Is a Toner Cartridge?Toner cartridges are used in laser printers and contain a very fine powder rather than liquid ink.The printing process is quite different. A laser printer uses electrical charges to create an image on a drum. Toner powder is attracted to the appropriate areas of the drum and is then transferred onto the paper. A heated fuser then bonds the toner to the page.It sounds complicated, but the practical result is fairly simple: laser printers are very good at producing large quantities of sharp, consistent documents. You'll find toner-based printers across offices, schools, professional practices and other workplaces where printing is part of the daily routine. Brother, HP LaserJet, Kyocera, Lexmark, Xerox and Ricoh all have laser printer ranges.Another advantage is that toner doesn't dry out like liquid ink. If a laser printer hasn't been used for several weeks, it generally doesn't have the same dried-ink or blocked-nozzle problem you can experience with an inkjet. The trade-off is usually the initial cost. Laser printers and toner cartridges can cost more upfront, although the calculation can change considerably once you look at the number of pages a cartridge can produce. How Do Ink and Toner Actually Print? This is where the two technologies are most different. With an inkjet printer, the print head moves across the page and places microscopic droplets of liquid ink exactly where they're needed. The printer builds the finished document gradually as the print head moves back and forth.A laser printer doesn't work this way.Instead, the printer creates an electrostatic image on a rotating drum. Toner sticks to the charged areas of that drum, transfers onto the paper and is then fixed in place by heat.Because there isn't a print head moving backwards and forwards across the paper, laser printers can generally produce text documents quickly, particularly when you're printing larger jobs. That difference is one reason laser printers are so common in busy workplaces. Is Ink or Toner Cheaper? This is probably the question we hear most often, and there isn't a single answer based only on the price of the cartridge. An ink cartridge is often cheaper to purchase than a toner cartridge. That's one reason relatively inexpensive inkjet printers are popular for home use.The problem is that the cartridge price doesn't tell you how much each printed page costs. An ink cartridge may produce fewer pages before it needs replacing. If you're printing frequently, those replacement costs can add up.Toner cartridges usually have a higher purchase price, but they can produce substantially more pages. For someone printing hundreds or thousands of pages, the cost per page may therefore be lower. The printer itself matters as well. A low-cost inkjet might look like the cheaper option when you're standing in the shop, but if you print heavily, the ongoing cost of replacement cartridges can become much more important than the original printer price. That's why it's better to look at cost per page and your actual printing volume, rather than simply asking which cartridge costs less.Which Gives Better Print Quality?Again, it depends on what you're printing. If photographs and detailed colour images are important, inkjet printers generally have the advantage. Liquid ink can create smooth colour gradients and detailed images, which is why inkjet technology remains popular for photo printing. For everyday text documents, toner is often the better fit.Laser printers are particularly good at producing crisp, consistent text. This makes them well suited to documents such as invoices, reports, contracts, forms and other office paperwork.Colour laser printers can produce good-quality graphics and colour documents too. However, if your priority is photo-quality printing, a good inkjet printer is generally the stronger option.Which Printer Type Is Right for You?The answer really comes down to how you print.Occasional home printingIf you only print occasionally and want to print photographs, school projects or colour documents, an inkjet printer can be a practical choice. The initial printer cost is often lower, and inkjet technology is well suited to detailed colour printing.Home office or small businessThis is where things become a little more interesting. If your print volume is relatively low, an inkjet or ink tank printer may work perfectly well. If you're printing every day and most of those pages are text documents, a laser printer may make more sense.Ink tank printers are also worth considering if you use an inkjet regularly, because their larger ink capacity can reduce the frequency of replacements.Busy workplacesFor offices, schools, healthcare practices, accounting firms, law firms and other workplaces with substantial print volumes, laser printers are often a practical choice. They can print quickly, handle larger workloads and don't have the same drying issues associated with liquid ink.For multifunction machines that are regularly used for printing, scanning and copying, a laser-based device can also be a good fit where printing volume is high.Genuine vs Compatible Ink and TonerOnce you've decided whether you need ink or toner, there's another decision to make: genuine or compatible?Genuine cartridges are produced by the printer manufacturer. For example, a Canon printer may use genuine Canon cartridges, while a Brother printer may use genuine Brother cartridges. The main advantage is straightforward compatibility and consistency. They're designed specifically for the manufacturer's printers and are generally the safest option when you want to stay within the manufacturer's consumables system.Compatible cartridges are made by third-party manufacturers and are designed to work with specific printer models.A good-quality compatible cartridge can offer a lower purchase price than a genuine cartridge, which can make a noticeable difference for people or businesses that print regularly. However, quality isn't necessarily the same across every compatible cartridge. That's why the supplier you buy from matters. It's also important to check the exact printer model before ordering. A cartridge made for one printer isn't automatically suitable for another printer from the same brand. This is particularly important with toner, where cartridge design and chip compatibility can vary between models.Common Mistakes When Buying Ink or TonerA few simple mistakes can make replacing printer cartridges more frustrating than it needs to be.Buying by brand instead of printer modelKnowing that you have an HP, Canon, Brother or Epson printer isn't enough.Different models from the same manufacturer can use completely different cartridges. Before ordering, check the exact printer model and the cartridge number.Leaving an inkjet printer unusedIf you have an inkjet printer that sits unused for months, the ink around the print head can dry and cause blocked nozzles.Printing a small test page occasionally can help keep the printer in working order.Assuming the cheapest cartridge is always the best valueA cheaper cartridge isn't necessarily cheaper to run.Look at the cartridge's page yield and work out how much you're paying per page. This gives you a much better idea of the real running cost.Replacing toner too quicklyIf a laser printer says the toner is getting low, you may still be able to print additional pages depending on the printer and cartridge. Some people gently redistribute the remaining toner to get a little more use from a cartridge. However, this is only a temporary measure. Once the toner is genuinely exhausted, replacing the cartridge is the sensible option.Never reviewing your printing costsBusinesses sometimes continue using the same printer simply because that's what they've always used. But printing requirements change. If your business is printing substantially more than it was a few years ago, it may be worth looking at your monthly page volume and current cartridge costs again. You might find that a different printer technology would make more financial sense. So, Should You Choose Ink or Toner? There's no universal winner. If you mainly print photographs, colour images or smaller print jobs at home, ink may be the better option. If you regularly print documents, especially large quantities of black-and-white text, toner is often the more practical choice. If your printing sits somewhere in the middle, don't make the decision based solely on the price of the printer.Look at:● How many pages you print each month● Whether you mostly print colour or black and white● Whether you print photographs● Cartridge page yield● Cost per page● How often the printer is used● The cost and availability of replacement cartridgesThose details will give you a much clearer picture of which option actually suits you.Frequently Asked QuestionsIs toner better than ink?Not necessarily. Toner is generally well suited to high-volume document printing, while ink is particularly useful for photographs and detailed colour printing. The better option depends on what you're printing and how often. Can I use ink in a laser printer? No. Ink and toner are designed for completely different printing technologies. A laser printer requires toner, while an inkjet printer requires liquid ink.Why does toner cost more than ink?Toner cartridges often have a higher upfront price because they can produce a much larger number of pages. When comparing the two, it's more useful to look at cost per page rather than cartridge price alone.Does toner dry out?No. Toner is a dry powder, so it doesn't dry out in the same way liquid ink can. This is one reason laser printers can be a good option for people who don't print every day.Is toner cheaper for a small business? It can be, particularly when the business prints regularly. Toner cartridges generally produce more pages, so the cost per page can be lower even when the cartridge itself costs more. Are laser printers faster than inkjet printers?Generally, yes, particularly when printing larger quantities of text-heavy documents. Laser printers are designed to handle fast, consistent document printing. Is ink better for photographs?Generally, yes. Inkjet printers can produce smooth colour transitions and detailed images, making them a popular choice for photo printing. What's the difference between a toner cartridge and a drum unit? The toner cartridge contains the toner powder. The drum is the component that transfers that toner onto the paper during the printing process. Some laser printers combine the toner and drum into a single cartridge, while others use separate toner cartridges and drum units. Can compatible cartridges damage a printer?A poor-quality cartridge can potentially cause problems such as leaking or inconsistent printing. However, a well-made compatible cartridge from a reputable supplier can be a practical alternative to a genuine cartridge. It's important to choose the correct cartridge for your printer and buy from a supplier that provides appropriate product support. How do I know whether my printer uses ink or toner?Check the printer's model number, user manual or the cartridge currently installed in the machine. As a simple rule, inkjet printers use liquid ink and laser printers use toner.Making the Right ChoiceChoosing between ink and toner doesn't have to be complicated.Think about what you actually print rather than simply looking at the price of the printer or cartridge. Someone printing a few colour pages at home has very different requirements from a business printing hundreds of invoices every week.Once you know your typical print volume, the type of documents you produce and your expected running costs, the choice becomes much easier. If you're still unsure which cartridge you need, checking the exact printer model before ordering can save you from buying the wrong product in the first place. The Toner Group supplies genuine and compatible ink and toner cartridges for a wide range of printer brands, helping Australian homes and businesses find printing supplies that suit the way they actually print.
